Internships at companies

Internships are divided into:

  • CURRICULAR: academic, as part of the Study Plan students are on: in the Degree in Civil and Territorial Engineering, it is an option worth 6 ECTS credits in the 4th year; in the Masters in Civil Engineering, it is an obligatory internship worth 12 ECTS credits in the 2nd semester of the 2nd year.
  • EXTRACURRICULAR: the student carries these out voluntarily and they are not part of the Study Plans. They are included as an additional document in the European Diploma Supplement.

CURRICULAR INTERNSHIPS

The following steps to be taken to carry out the curricular internships and their orientative dates are:

1. The Company or Institution which wishes to provide internships must register (if it has not done so previously) on the UCLM internship administration website (access for companies) created for this purpose.

2. In the event it is a "newly registered" company or institution, a CCE model shall be delivered to it (Framework Agreement). Once it has been signed it shall be given a username and access code.

3. The Company-Institution shall publish its internships offers for the academic year on the internship administration website application (orientative deadline: 31st March), indicating: economic activity of the company, location of internships, period for them to carried out and number of hours per day and, if applicable, the amount of the student grant or allowance and the degree the Company tutor has.

4. The Internships Commission shall decide if the internship offered meets the requirements to qualify as curricular.

5. Students who wish to carry out the internships must register on the datebase provided for them (student access), selecting up to 3 of the internships offered by order of preference (orientative deadline: 15th April. They must also send their CVs with their application.

6. The internships commission shall then make a final selection of the students based on merits (orientative deadline: 10th May).

7. The Internships Commission shall designate suitable academic tutors for each internship (orientative deadline: 15th May).

8. The Company, with the help of the tutors, both from the company and academic ones, shall develop a training project in keeping with the model provided (download Appendix I).

9. Once the internships have finished, the company tutor shall issue a final report on the internship made and send it to the academic tutor.

10. Once the academic tutors have the internship report and bearing in mind that from the company or institution tutor, they shall make the final evaluation report for the internships using a normalised model and send this, the company tutor´s and the internship reports for the student to the Internships Coordinator at the centre.

11. The Internships Commission shall designate an Examining Board to evaluate the academic tutor concerning the Internship Evaluation according to that stated in the "Students "section. The student shall have 15 minutes to expose the most significant ideas in the internships made with the help of a poster summary.

12. The Internships Coordinator shall issue a certificate to the Students deemed to be appropriate for curricular internships which shall show the credits for the optional subject taken in the 4th year of the degree "Internships in Companies" have been validated and are worth 6 ECTS credits.

Allocations

The criteria used for examining merits for allocating curricular internships (the extracurricular ones depend on the company appraisal) shall be in preferential order:

  • The highest average mark on the academic transcript just as appears on the student transcript.
  •  In the event of a tie, the highest number of credits in the first enrolment in the third year.
  •  In the event there is still a tie, the highest total number of credits passed to the time it is allocated.
  • In the event there is still a tie, there will be a draw among the students involved and in their presence.

EXTRACURRICULAR INTERNSHIPS

The steps for carrying out extracurricular internships are as follows:

1. The Company or Institution which wishes to provide internships must register (if it has not done so previously) on the UCLM internship administration website (access for companies) created for this purpose.

2. In the event it is a "newly registered" company or institution, a CCE model shall be delivered to it (Framework Agreement). Once it has been signed it shall be given a username and access code.

3. The Company or Institution by means of the internship administration website shall indicate in the internship offer: economic activity of the company, location of internship, period for it to carried out and number of hours per day and, if applicable, the amount of the grant or allowance.

4. Students who wish to carry out the internships must register on the datebase provided for them (student access), selecting up to 3 internships offered. They must also include their CV on applying.

5. The Company or Participating Institution shall make a final selection of the student and designate the tutor for the Internship and notify the internships coordinator about this.

6. The Internships Commission shall designate suitable academic tutors for each internship.

7. The Company with the help of the tutors, both from the company and academic ones, shall develop a training project in keeping with the model provided (download Appendix I).

IMPORTANT!

  • Appendix I to the agreement framework must contain the following information:

       - Internship Objectives

       - Basic competences to be acquired for which the verification report from the Degree/Masters may be a guide.

       - Tasks to carry out and link to the competences to be acquired

       - Time line for the tasks to be carried out

       - Results expected

  •  Both with the curricular and extracurricular internships, it is essential that Appendix I is completed, signed and delivered to the Secretary´s office at the centre (administrador.caminos.cr@uclm.es) on beginning the Internships. If the Internships are carried out outside Ciudad Real, if it is not possible to deliver the document by hand on the first day, then a scanned copy must be sent that day.
  • After starting the internships, students must deliver a signed copy of Appendix I, which has been registered at the Secretary´s office at the centre, to the internship tutor the company has designated and the academic tutor.
  • The company tutor on completion of the internship period must give the student the "Certificate of Company Internships" and fill in the Survey on End of Internships by means of the UCLM website application for external internships.
  • The student on completion of the internship period must fill in the Survey on End of Internships by means of the UCLM website application for external internships.
  • The student, within 15 days of finishing the internship, must hand over the internship report (whose content is shown in the "Students "section) to their academic tutor.
  • Any non-compliance with any of the steps described in the preceding sections shall render the internships unfulfilled.

CASTILLA-LA MANCHA REGIONAL GOVERNMENT (JCCM).

On 25th September 2013 an Agreement was signed between the UCLM and JCCM in Castilla-La Mancha to carry out external academic internships. The internships at any JCCM centre are governed by this new Agreement and they are processed in a different way to other ones.

The current rules governing how external academic internships for UCLM students work are:

Below are the requirements students who wish to carry out the internship must meet and the means of evaluation (for curricular internships).

STANDARD REQUIREMENTS

To be enrolled at the university currently (the academic year finishes on 30/09)

  • Be registered on the UCLM website platform for internships (https://practicasyempleo.uclm.es)
  •  To not be related to anyone who holds a position at the company (up until the third degree)
  • Maximum duration: 900 hours or 6 months (whatever is most restrictive) per academic year and/or at the same company

CURRICULAR INTERNSHIPS

Students who wish to carry out curricular academic internships must also meet the standard requirements which are as follows:

  • Have passed at least 150 ECTS credits
  •  Hand over an internship report within 15 days after the internships have finished, which must be signed by the student and contain:

-A specific description of the tasks carried out, works developed and departments from the institution they have been assigned to.

- Description of the competences and skills aquired in the internship and their links to the knowledge and competences acquired in their university studies.

- Appraisal of the companion-guide role of the company tutor

- Problems set during the internship and the procedure for solving them

-Identifying the learning that has taken place during the internships.

-Overall appraisal of the internship and suggestions for improving them.

-Internships diary

  - Summary poster of the most significant parts of the Internships carried out and the learning results.

The academic tutor with the help of the Internship Commission shall mark the internship in terms of:

  • The internship report drawn up
  •  The appraisal report from the academic tutor
  • The appraisal report from the company tutor
  • Presentation of summary poster and the work carried out before an examining board

 

In the event of a positive appraisal, the activity shall be awarded 6 ECTS credits (optional subject in the 4th year of the degree) and the final mark will be the average between the mark from the Company tutor and that from the academic tutor. If either mark is below 5.0, the internship shall be marked as extracurricular internship.

Regarding the administrative procedures, all students who are going to carry out internships whether they be curricular or extracurricular shall be enrolled in the optional subject "History and Aesthetics of Civil Engineering" and NOT on Company Internships. Students whose curricular internships have been evaluated as positive, may change their enrolment in the second semester and enrol in the subject "Company Internships" which shall be validated with the corresponding average mark.

 

EXTRACURRICULAR INTERNSHIPS

In the event of extracurricular internships, no appraisal from the Internships Commission is required. Students who wish to carry out extracurricular academic internships must also meet the standard requirements which are as follows:

  • Have passed at least 120 ECTS credits
  •  The internships shall have a minimum duration of 150 hours and a maximum of 900 hours (or 135 days) in each academic year.
  • The training project from appendix I to the agreement framework shall only contain the internship objectives and the tasks to be carried out.
  • An internship report must be handed in within 15 days after the internships have finished, which must contain:

- Student data: name and surname/s, studies to be taken and year

-Internship and company data:name of the company, location, duration of internship, name of tutor and position at company

-Diary for learning results from internships

EDUCATIONAL COOPERATION AGREEMENT (CCE):

Making external academic internships shall be contingent on a previously signed CCE between the UCLM and the participating institution which shall govern cooperation between both parties in terms of the practical training for students. For this purpose, there is the UCLM internships management application (company access). The company must be registered on the administration system.

In the event it is not registered on the system the first step it must take is to provide some basic information about the company. Once the information has been validated by the UCLM it will issue them a CCE (Agreement Framework) which both the company and the UCLM must sign. Once it has been signed it shall be given a username and access code.

From then onwards, the company may make all kinds of online internships offers, as well as see them in real time and manage all data concerning them.

As an appendix to the framework agreement (Appendix I) a training project established with the participating institution shall be included which is in keeping with the model provided and must be signed before the internship starts, in which each internship carried out is specified as well as their objectives, the competences to acquire, their contents and results expected (download Appendix I).

Just because a company or institution participates in a CCE does not mean it shall accept further commitments than those set out therein and under no circumstances shall any duties akin to an employment contract be derived.

The public or private company or institution may interrupt the internship if there is good reason to do so, and must notify the UCLM of this using the document created for this purpose.

 

COMPANY DUTIES

The companies which take on students for intenships shall accept the following duties:

  • Guarantee health and safety for students in their internship program and include them in their health and safety at work programmes.
  •  No post the students have while they are carrying out the internships can be taken, not even temporarily.
  • Appoint tutors whose duties are defined later on, which are related to the duties the internship students are to carry out.
  • At the end of the internships, a certificate shall be issued for the students in which the specialism the training has been aimed at is expressly mentioned, its duration and their performance.
  • Guarantee supplementary training the student needs to carry out the internship.
  • Help students attend exams, evaluation tests and other obligatory subjects they are enrolled in.
  • Pay students the allowances it generally pays its employee in the event they may have to travel beyond the place established in the CCE appendix to carry out tasks for the internship.
  • Notify the university if the company or institution intends to offer the student an employment contract once the internship period has finished. In the event an official contract is offered before the internship has ended, the academic tutor must be notified.
  • Help the academic tutors access the company or institution to carry out their duties.

 

In order to stimulate and support employment prospects for university students, the company, entity or institution may make a donation to the UCLM for improving student employment prospects. This amount shall be indicated in the Educational Cooperation Agreement. 

REQUIREMENTS

  • The tutor designated by the company must meet these requirements:
  •  Be a qualified worker in the areas students are going to carry out their activity and have the necessary knowledge to carry out tutoring effectively.
  • In the curricular degree internships, the company tutor must be a civil engineer, a technical engineer for public works or have a similar profession.
  • In the curricular masters internships, the company tutor should preferentially be a civil engineer.The tutor designated by the company or institution cannot also be the teacher who carries out tutoring at the university.

 

RIGHTS

  • The Company tutor has the following rights:
  •  Right to effective recognition by the UCLM of the work the tutor for the internship student has carried out.
  • Be informed about the rules on external internships as well as the training project and conditions for carrying them out.
  • Have access to the university for obtaining the required information and support for fulfilling his or her duties.

 

DUTIES

  • The company tutor has the following duties:
  •  To establish, along with the academic tutor, the training objectives and activities the student is to carry out and are specified in the training project that this has been fulfilled.
  • Take the students under his or her wing and inform them about the organisation and how the company or institution works.
  • Organise and supervise student activity during their stay at the company or institution.
  • Provide supplementary information to the student whenever necessary.
  • Participate concerning academic aspects of the internship and the CIPE in administrative aspects of it with the Internship Coordinator at the centre the student belongs to
  • Issue a final report on the internship made and send it to the academic tutor.
  • On completion of the internship period, give the student the "Certificate of Company Internships"and fill in the Survey on End of Internships by means of the UCLM website application for external internships.

The academic tutor must be an active professor at the UCLM, who teaches, preferably at the School of Civil Engineering.

The Commission of Internships shall assign academic tutors to students who participate in the external academic internships programme.

Academic tutors shall be entitled to have their work recognised within their teaching work, as determined in the UCLM Plan for Academic Management.

The academic tutor shall have the following DUTIES:

  • Help internship students in partnership with the internships Coordinator at the centre, during their stay at the company or institution, in resolving any academic shortcomings the student may have when carrying out the activities there.
  •  Draw up the training programme as specified in Appendix I of the agreement framework. The training programme must match the activities foreseen the student shall carry out at the company or institution and must be in keeping with the tasks carried out while they are performing their work.
  • Work in partnership with the Internship Coordinator at the Centre and if necessary, with CIPE experts in all matters concerning the internship, such as any incident that may arise while it is underway, suggestions for improvement, etc.
  • Make the final evaluation report for the internships using the normalised model, once the reports from the students and the company or institution tutor are available.
  • Participate in the evaluation process in the event the curricular internships follow the protocols set by the teaching centre.

At each UCLM centre there is a Coordinator for external internships designated by the Faculty Deans or Centre Directors. The Commission for external Internships shall be made up of the Coordinator and four professors from the centre and who are appointed by the director.  The external Internships Commission shall take on the following duties and competences:

  • Organise, coordinate and manage the curricular internships at the centre.
  •  Work in partnership with the CIPE in organising and managing the extracurricular internships and making the CCE official.
  • Organise and coordinate the evaluation system for the curricular internships.
  • Those other duties and competences which this rule expressly recognises.
